Create a Basic Email Template

This video will teach you how to create a basic email template in your Profit Platform CRM. You can then use this basic template as the starting point for all other emails that you set up in your automation workflows or email campaigns.

[00:00:00] In this video, you will learn how to create a basic email Template in your Profit Platform CRM. And so the reason you want to create this basic email template is to be able to use it in the automated email sequences that you set up, or in any campaigns that you decide you want to send later. One of the reasons that it is helpful to have a basic template is so that you don't have to type in some of the information over and over again in each email, and you don't forget things need to be there, especially the required items for complying with spam laws around the world.

[00:00:33] Okay, so let's go ahead and build a basic email template. So first thing is to log into your CRM. If you haven't already at the https://crm.profitplatform.com, and once you're logged in and in the correct account, then where you're going to find your email templates is under “Marketing.” And then here under “Emails,” you see “Templates.”

[00:00:57] And so you can see here, I've created a couple of templates already in this account, but we're just going to start from scratch and this is what you'll be doing as well. So first of all, is just to click “New” here. And we want to just start with a “Blank Template.” Use the “Design Editor.” The code editor is really complex and it's only really for advanced HTML users. So we'll start here in the Design Editor and you can see what it does, it just creates a very blank, basic template here. To start out, let's go ahead and give it a name for the new template. Let's call it the “Basic Email Template.”

[00:01:30] And then the next thing we're going to do is to make sure that you have this area selected. So just click anywhere on this to select it. And this is the layout for the email. Now, the best thing to do is just leave it as a single column. But then in order for it to be able to automatically format correctly on every device that anyone might view your email on it, it's a good idea to go ahead and turn off this Padding. Okay, so turn that off. And then we're going to come over here. Now I don't want to have this section to view the email in a browser. So I'm going to remove it. And then I'm just going to end up with this one “start from scratch.”

[00:02:10] in this editor, you can format your content that you type in here, and you can see up here this is set to be a “Heading 1″. For just my own ease of use, what I want to do instead is to go ahead and just change this to a ” Paragraph,” and I'm just going to, instead of saying “start from scratch,” I'm just going say “placeholder text.” And so why I'm saying this and we're not typing any email content in here is because later on, when we use this template to build our other emails, then we'll edit it and put in the actual text that we want to have here. Okay, so that's why I'm doing that. So that's the first thing I want to do. Okay, so I just changed this to “placeholder email body text” the idea here is just that I have something in this spot and it'll remind me that I need to replace it when I use this template. Okay, also, again, turn off the Padding so that it will format correctly.

[00:02:58] Now, the next thing that we'll want to do is add another text section, and to do that, just click on this and hold it, and then drag it over onto the template, and drop it where it gives you a spot where you can drop. So you want to drop below the placeholder email body text. This is going to be our footer. So, what I'm going to do is just simply delete the text that's in here and it's already changed to “Paragraph,” and I'm going to paste in my text that is for email compliance. So this is what's required by, in the US, what they call the CAN-SPAM Act, and also in other countries like in Europe, the GDPR, which is their privacy regulations in Europe, and there are other countries around the world, but basically, the common things that they all require are these.

[00:03:42] So first off, the physical business address that you're going to use and a statement as to why someone is receiving the email from you, and then also a link to your privacy policy. And there seems to be some extra characters in here. So I'm going to take those out. So this should be a link. Now, every one of our sites have a privacy policy on them. And it's always under this URL here. So for me, the site I'm talking about is kittycareacademy.com/privacy. So if I go over here to that site, you can see that page already exists. And all I have to do is copy this URL and then paste it into this section. So to make sure that this is a link, because it might not be when you paste it in at first, what you'll need to do is go ahead and highlight the entire URL and then click on the “Link Text” and then go ahead and just paste it in again here and save that, okay? And you can leave this “open in a new window,” that's fine. And and then you're done. So I'm just going to click Cancel because mine's already set as a link, so I don't need to do anything there. But then, what I'm going to do now is, go back over here and turn off the Padding again, so it'll format correctly on any device. And then I'm done with this, I'm going to close this box right here.

[00:04:59] So the last thing I want to do is I'm just gonna put a simple divider Between the footer and the body text. So all I have to do is drag it to this position where it's shows I can drop something and I'm going to drop that there. And I don't like the color that it's using here, so I'm just going to pick a different color. So I'll go with something that's more close to black or gray. Maybe I'll just go with this gray here. And then one more time, I will turn off the padding again, so that it's going to be able to format correctly on every device. Okay. So now, looking at this template, it doesn't look like much, but again, remember you're going to be completely replacing this section with your email body text, which should be a fair amount of text. And then that's all you're going to need to do for any email that you create in your CRM in other areas.

[00:05:46] So, the last thing to do then is to go ahead and click the “Save Template” button, be sure to do that. And, your template is now saved. If we go back to the list of templates, you'll see that it is right here, and it's now available for you to be able to use in your automations as you're setting up your emails there, and also you can use it for an email campaign. And we'll go over how you do those in some separate training videos in this section.

Note: Since the above training was recorded, we have added a “Plain text editor” as an option for creating email templates. This can be a great option to use vs. the Design Editor shown in the video above because the text will automatically format correctly for viewing on any device. You may choose this option when creating a new email template.
